The Roxy Events

WHAT IS THE ROXY?
It is an events place for rent.  It conducts regular ballroom dancing sessions and Zumba Fitness classes when there are no conflicting events.  It is 250 sq. m. and can fit a maximum of 200 heads.

WHAT IF WE DONT PUT TABLES AND CHAIRS, CAN WE HAVE MORE THAN 200 HEADS PARTY AT THE ROXY?
No.  For safety reasons (two fire exits) and comfort reasons (air conditioning units capacity to cool), we will not allow more than this number into the venue at one time.

WHO RUNS THE ROXY?
The Roxy is operated and run by Roxy Araneta, who is an Events Coordinator (since 2000), Motivational Speaker (since 2010), Preschool Owner/Teacher (since 1995), Multi Licensed Fitness Instructor for Zumba™ (Fitness, Sentao, Toning, Gold, Kids + Kids Jr., Aqua Zumba), Resist-A-Ball, Pound Fitness and Nirvana Fitness and who is also a multi-awarded Ballroom Competitor (since 2008).  A Master Practitioner of Neuro Linguistic Programming or NLP, she has walked over fire and enjoys frequently learning new skills.

The Roxy is her only “baby”. She frankly answers queries based on the questions you ask (so ask properly :O) Feel no offense if she speaks loudly as this is her normal volume. She is into positive thinking and she finds people who are late for appointments, disrespectful.

ARE OUTSIDE CATERERS AND SUPPLIERS ALLOWED?

Yes, Just be prepared during contract signing, to please remit all suppliers’ names and contact details so that they may be allowed into the premises three hours prior to the event to set up.  They are also in charge of cleaning up during the two hour egress period so that you can get your Refundable Security Deposit asap.

IS THERE A CORKAGE FEE FOR OUTSIDE SUPPLIERS AND CATERERS?
The fee is already built into the “If Venue Only Rate”.  In essence, there is no additional charge to what you see in the listed packages on our packages page.


If the catering service is from us. and Client brings in their own LECHON, we will charge P1,000 per LECHON for the labor/chopper, the extra table to place the LECHON on, and a chafing dish for the chopped pork.

If the catering service is from us. and Client brings in their own DRINKS, we will charge P50 PER CONTRACTED HEAD for the labor/bartender, extra ice, ice chest and glass.

HOW CAN I SECURE MY CHOSEN DATE AND TIME?
Remit the following ASAP, as we do not pencil book any event.

DO YOU ACCEPT RUSH EVENTS?
Yes.  Defined as those with less than 14 days of preparation, “Rush Events” will have a surcharge.

WHEN MAY I SCHEDULE THE FOOD TASTING?

Food tasting, or rather, TASTE ADJUSTMENT may be scheduled after full payment.  The Roxy prides itself in having chosen caterers who already provide delicious food.  Since it is safe to assume that you know the usual taste of spaghetti and kare-kare, for example, the food tasting is the moment for you to adjust the taste or color of your favorite dishes.  The caterer will prepare two (2) dishes and a pasta (if present in your chosen menu) good for two heads.

IS THERE A BUFFER TO THE FOOD WE WILL ORDER FROM THE IN-HOUSE CATERER?

Yes.  The Caterer’s 10% buffer is a safe allowance for hearty eaters.  Given that the guests are within the contracted number, you are assured that we will not run out of food.  Please note that there will only be enough tables, chairs, plates, utensils and glasses for the contracted number of heads.  Client may, however, bring home any party leftovers, including the buffer, at no extra charge.

WE WILL GET THE CATERER FROM YOU--SO CAN WE BRING IN ADDITIONAL FOOD?

Yes.  Just note, that in keeping with the signed contract, the Caterer will stick to the table, chair, utensil, plate number you've paid for. 

Do consider that if you are using this chance to feed more guests than what was contracted, we foresee that there won't be enough chairs, rice, ice, glasses, etc. for them.  This shortage may be "perceived" by the guests as a shortcoming of the Caterer and ultimately the venue, which we would like to avoid at all costs.


WHAT IS THE REFUNDABLE SECURITY BOND (RSB) FOR?
It is used as a “just in case” measure for extensions, breakages and additional heads beyond Client’s contracted number of guests.  The RSB ensures the proper behavior of the guests during their stay at The Roxy (i.e. Those who disregard decoration limitations, smoke/gamble/use drugs or those or misuse our equipment are some examples of reasons when there will be a penalty taken from the RSB). If everything goes smoothly, the bond is fully returned after Client’s last supplier exits the premises.  It is P10,000 for events without alcohol and double (P20,000) when the event has alcohol as the risk for incidents is higher.

IS THERE A GRACE PERIOD FOR SETTING UP AND STRIKING SET?
Yes.  Client's suppliers and caterers strictly have 3 hours before an event to set up (Ingress) and 2 hours after to strike set (egress) AND CLEAN UP.  Suppliers are obligated to pop their balloons, throw their trash, sweep the floor and remove their mess (i.e. sticky residue of their decoration materials or spilled ice cream).  Caterers must clear the sink and drain of their left over food if they are to wash their plates on site.  Their behavior and speed may also impact the refund of Client's RSB.  Additional hour for set up or strike set is P1,500.

WHY IS THE FULL VENUE GOOD FOR 200 HEADS BUT HALF JUST 70 HEADS?
While half of 200 is logically 100, halving the venue makes it possible to seat a max of 70 because the half you're given is the half with direct access to the pantry, holding room, toilets, main entrance and emergency exit (which explains the missing space good for 30 heads). Do remember, we still have a serving crew and I assume you need space for a stage area. 

If we could squeeze more in, just to put money in our pockets while knowing that you will for certain feel under-cooled by the A/C unit... we would... but we'd rather keep our conscience clean, the occupants comfortable with a proper aircon to guest ratio and keep them safe, in cases of emergency.

Given the rates, we KNOW there isn't one with the same features i.e. Ground level access, 90 sq m dance floor, surround sound system and possibility for outside caterer/suppliers. 

WHAT IS THE BASIS FOR THE IN-HOUSE CATERER’S HEADCOUNT?
Caterer’s basis for head count is the number of plates-utensils-chairs used at the event.   

ARE OUTSIDE CATERERS AND SUPPLIERS ALLOWED?
Yes.  Do be prepared during contract signing, to remit all suppliers’ names and contact details so that they may be allowed into the premises and they may be briefed re the venue’s policies.

ARE THERE ANY RESTRICTIONS AT THE ROXY?

1. No cooking inside.
2. No new holes on surfaces.  Please use existing holes, hooks, metal braces, string for your decoration/set up.
3. Double sided tape is allowed for as long as the person who stuck it, removes it and all sticky residues.
4. Only Client-supplied items may be manipulated by Client.  The lights, sound system, airconditioning units/vents, etc. must be handled only by The Roxy’s personnel.
5. Set up is limited to three hours before the event.  Clean up is limited to two hours after the event.  These are free hours given to the suppliers with minimal lighting at the venue.  If made earlier, later or if extended, P1500/hour will be deducted from the Refundable Security Bond.
6. Handling our sound system, A/C units, circuit breaker, etc. without expressed permission to do so.

7. No Smoking within premises up to 30 meters away from the entrance.

8. Drug use, gambling and other illegal activities are not allowed.

9. People with a lousy attitude (SORRY, Roxy just had to include this!!).

DO YOU HAVE PARKING SPACES?

Yes.  We have parking spaces around our building on three streets: Tomas Morato Ave., Dr. Lazcano and Scout De Guia. Parking is free for all, available on a first come first served basis. Further, there is also a pay-parking facility two streets away behind Zirkoh. At night and weekends, all the banks have empty parking slots. If your party isn’t timed during lunch or dinner, there’ll be more slots available since diners come to Tomas Morato mainly to eat. 

IS THERE ANYTHING ELSE WE NEED TO KNOW?
The lowest beam at the venue, is 6 feet, 6 inches.  The hooks from which your tarpaulin backdrop may hang are height is 6 feet, 8 inches off the floor.  The hooks are two feet apart up to 10 feet wide therefore t
he tarpaulin widths may be 2 feet, 6 feet or 10 feet.  


Should you want to fabricate a tarpaulin to cover our main signage outside, you may fabricate at either 4 feet x 12 feet or 4 feet x 24 feet, plus 3 inches allowance on all sides.  You may install this with care over the existing tarp.  You must also dismantle the tarp after the event during Egress.  Any damage to the existing tarp or structure will be paid for using your RSB.

Clean up, popping of balloons, dismantling of decor and throwing of garbage will be by each supplier who installed said items.

We customize packages so specify your name, target date, number of adult & kiddie guests, requirements and budget ASAP!  Just remember that we can provide for anything you need.  In the interest of saving paper and of avoiding information overload, please detail your requirements and party data for quicker correspondence.

WILL THE VENUE BE CONSIDERED "FREE" IF WE GET THE CATERING SERVICES FROM YOU?

No.  We just subcontract the caterer, as a convenience to you.  Since we do not own this service, we do not make our profit from this but from the rental fees we charge you.  


WHAT IS ZUMBA, HOW MUCH DO YOU CHARGE AND WHAT IS YOUR SCHEDULE?
Zumba® exercise classes are "fitness parties" which blend world rhythms with easy steps, for a total-body workout that feels like a celebration. Yes, even first-timers can follow the dance steps (otherwise they won't return and the studio will not have repeat business :). 

HOW WOULD YOU DESCRIBE EACH ZUMBA PROGRAM?
Zumba® has different specialties.  Zumba® Fitness is great for active individuals over 12 years of age and uses lots of dance styles like Cumbia, Salsa, Reggaeton (Hip Hop), Merengue, Samba, Bangra, Chacha and Tango to get its attendees into the party vibe.   Zumba® Kids+ Kids Jr. is a class for kids 4-12 years of age.  Zumba® Toning employs weights with dance moves. Zumba® Gold is for older active individuals, pregnant women who want to move, those recovering from therapy and those who are aided by canes and even wheelchairs!  AquaZumba® happens in a chest-high pool for a zero-impact workout. Zumba® Sentao utilizes a chair and cleverly incorporates dance actions to maximize ones moves.

WHAT IS A LICENSED INSTRUCTOR AND WHAT IS A ZIN?

At the very least, The Roxy utilizes the talents of LICENSED Zumba® Instructors.  These are individuals who formally went though Basic 1 Training under a Zumba® Education Specialist.  They may teach for 1 full year from the date of their training.  After this one year (or ealier), they may join the Zumba® Instructor Network where the instructor pays a monthly membership and receives updates from the Zumba® Home Office in Florida, USA via music and choreography.  This ensures that instructors give you the latest, hottest tracks, safest but most effective moves and funnest party vibes.


Not all licensed instructors are ZINs.  Some unfortunately do not become ZIN members, which ends their rights to teach Zumba and some ZINs unfortunately do not continue their membership which ends their rights to teach Zumba® as well.  Please always check for authenticity of Zumba® Instructors on www.zumba.com to be able to receive a safe workout with the best Zumba® songs possible!

ZUMBA® KIDS JR. classes are a dance ‘n’ play party for lil’ feet where pint-sized party animals get silly, dream big and begin their journey to a healthy future.  This program is where 4- to 6-year olds just let loose and be themselves—little bundles of natural energy that are endlessly curious about new sounds and experiences!  Here they can socialize, move to age-appropriate music and play games with other kids.

JUST ADD WATER AND SHAKE!

HOW DOES ONE USE THE ZUMBA® LOGO?

Client agrees that the use of any Zumba® Logo will only be in connection to promoting a licensed instructor’s appearance in a class or event.  Further, no changes in layout, font, color, proportion to the logo/s may be made when advertising.  Also, Client agrees not to produce or reproduce the logo with the intention of profiting from the sale of items with the logo.  Individuals who push these fake materials/Zumba® wear will be reported to the Florida, USA Home Office for proper legal action by the Instructor.

DO YOU HOLD BALLROOM DANCING EVENTS?
Yes.  We have ballroom dancing events when there are no conflicting events.

Mon-Fri from 2 pm to 7 pm at P250/head entrance
Since the fee is minimal, we expect everyone who enters during the ballroom dancing period to pay the entrance fee.

The music is by DJ John del Rosario.

You may contract a Dance Instructor through us at P2,000.  The booking must be confirmed at least 24 hours before your target dance date.


You may bring in food but note that you must assist us in CLEANING AS YOU GO and that you must PROVIDE FOR YOUR OWN SERVING UTENSILS as we are not a restaurant with supplies but just a party venue with glasses and service water with ice.  We also have, on hand, menus of neighbour-ing restaurants so you can still have your food delivered to your table.

Some individuals opt to hold their “non-exclusive” dancing parties at The Roxy.  They sometimes contract our caterers to provide food for their numbered guests so we set aside a conspicuous section for this purpose, all the while allowing other guests to drop in and dance the afternoon away.

WHEN IS THE BEST TIME TO PAY FOR THE VENUE/PACKAGES?
ASAP.  

1) We operate on a First Pay, First Booked Basis.  We do not pencil book.  Any discussions or  correspondence may not be construed as a commitment to book by The Roxy unless full payment has been received with a signed contract. 
2) Only Roxy Araneta receives payments for bookings.  
3) A clear appointment must be set for the transaction.  Based on negative past experiences in giving in to Clients, we now do not accept bank deposits nor credit card transactions.

WHEN IS THE BEST TIME TO INSPECT THE VENUE / DO AN OCULAR INSPECTION?

The Roxy is operational every weekday from 2pm to 7pm for as long as there is no typhoon / no holiday.  You may walk in unannounced.  Roxy may best answer any queries when she is there. Roxy owns two preschools in Alabang and Las Pinas and teaches Zumba® classes all over town.  It is best to call two days ahead to ensure she can be present during your intended ocular/payment date and time.
